The Algorithm Signed Off. Should You?
A new kind of pressure is entering the finance function and it doesn't come from your boss.
You're a senior accountant at a mid-sized company. Six months ago your finance team adopted an AI tool that ingests the general ledger each close cycle, checks for anomalies, reconciles accounts, and produces an exceptions report. Leadership loves it. The close is faster, the CFO is happy, and the tool is being held up as the future of the department.
This quarter, the AI produces a clean report. No exceptions, no flags.
But something bothers you. While pulling numbers together for the board deck, you notice that a growing share of ordinary operating expenses including marketing spend, some travel, and a few salaries have been flowing into the restructuring line item. The company did go through a genuine reorganization eighteen months ago, so the account exists for a legitimate reason and the AI has been seeing costs flow through it for a while. It recognizes the pattern as normal and moves on.
What the AI cannot see is that the reorganization is effectively over. The costs hitting that line now are not one-time restructuring expenses. They are recurring, ordinary costs of running the business and that distinction matters enormously.
Here is why. Restructuring charges are understood by analysts, lenders, and boards to be non-recurring. When evaluating how a business is really performing, most readers of financial statements exclude restructuring from their assessment of core profitability. They strip it out precisely to make period-to-period and peer-to-peer comparisons without one-time noise distorting the picture. So when ordinary recurring expenses get parked in the restructuring line, two things happen quietly: operating expenses look lower than they are, and core operating margin looks better than it is. The business appears more profitable on an ongoing basis than it actually is. No transaction is incorrectly recorded. No approval is missing. The numbers add up perfectly. The picture they paint does not.
You bring it to your controller. The response is calm and immediate: "The AI cleared it. If we start overriding it every time someone has a concern, we defeat the whole purpose. Note that you reviewed the output and let's close the quarter."
And here is where the dilemma actually begins because that response is not obviously wrong.
If experienced accountants routinely override AI tools on the basis of professional judgment, the firm has spent significant money on a system that gets ignored whenever it matters most. There is a real organizational logic to holding the line. And your concern, however legitimate, is not a smoking gun. It is a judgment call about presentation and intent and exactly the kind of thing reasonable people disagree about.
But consider what you actually know. You know the reclassification inflates a margin metric that leadership uses to report performance. You know that anyone benchmarking the business, pricing a loan, or evaluating a bonus tied to operating results is working with a number that doesn't mean what they think it means. And you know that "the AI approved it" is not a defense that will satisfy an auditor, a regulator, or a board that later asks why nobody caught this.
Which is why, when AI clears something that your judgment questions, the most useful thing an accountant can do is pause and ask:
- Would you defend this classification to an auditor?
- Would you explain it comfortably to an investor?
- Would you be at ease seeing it in writing with your name attached?
If the answer to any of those is no, the AI's clean report is not the reassurance it appears to be.
The deeper issue is what this moment reveals about AI in the finance function. These tools are genuinely powerful at what they do: transaction-level accuracy, pattern detection, reconciliation at scale. But financial reporting is not just about whether numbers are correctly recorded. It is about whether the picture they paint is true. That second question requires understanding the business, understanding the audience, and understanding the gap between technical compliance and honest presentation. No model trained on historical transactions is going to develop that judgment on its own.
So the scenario leaves you with a question that is less about this quarter's close and more about what your role actually is: if the machine checks whether the numbers are right and you check whether the machine ran correctly, who is checking whether the financials are honest?
